This policy explains what personal information we collect when you use minisuites.co.za or stay with us, and how we handle it. We process personal information in line with the Protection of Personal Information Act 4 of 2013 (POPIA).
Who is responsible for your information

What we collect
When you make a booking or enquiry, we collect:
- Your name, email address and phone number
- Your stay dates and number of guests
- Messages you send us (email, WhatsApp, or the contact form)
Payments: card and payment details are collected and processed directly by PayFast and Paystack, our payment providers. We never see or store your full card number. Their privacy policies apply to the payment step.
Website: our server logs standard technical data (IP address, browser type, pages visited) for security and to keep the site running. We use only the cookies needed for the site and booking flow to function.
Why we collect it
- To confirm and manage your booking, and to contact you about your stay
- To send booking confirmations and essential stay information by email
- To process payments and refunds through our payment providers
- To meet legal and accounting obligations
- To respond when you contact us
We do not sell your information, and we don't send marketing email unless you've asked for it.
Who we share it with
Only the service providers needed to run the business: our payment gateways (PayFast, Paystack), our email and hosting providers, and — where required — the Fairview Golf Estate's access control for your visit. Each processes your information only for those purposes. We may disclose information where the law requires it.
How long we keep it
Booking and payment records are kept for as long as South African tax and accounting law requires (generally 5 years), after which they are deleted or anonymised. Enquiries that don't lead to a booking are deleted within 12 months.
Your rights under POPIA
You may ask us at any time to:
- Confirm what personal information we hold about you
- Correct or update it
- Delete it, where we're not legally required to keep it
- Object to processing

If we change this policy, the updated version will be posted on this page with a new "last updated" date.
